BACKGROUND

Worklogs was born from the frustation of managing non-technical remote teams.

Nobody wants to take notes, manage a task list and share their progress. But non-technical users are often the first victim of their lack of organisation.

Project management application are a great solution to share precise specifications, task, assignment, ect… The only problem is that non-technical users are just not onboard with clicking on 10 different drop down to create a task.

With worklogs you will enjoy the benefits of project management system while using chat messages! … and a little rigor to keep them organized ๐Ÿ˜‰

HOW IT WORKS

Messages are the root of all knowledge and accomplishement in Worklogs, we arrange them chronologgicaliy in ‘Logs’, which are also organized in folders ๐Ÿ“‚.

You can create as many sub-folder as you like but to limit proliferation, Worklogs creates automatically ‘message threads’ (mini conversations) when you make a direct (inline) reply to a specific message.

Threads ๐Ÿงต help to break down folder into smaller bits of context, which reduce the need for new folders.

Most often a thread start with an important message requiring some additional conversation before it can be considered done. Important message are ‘pinned’ so they can be seen in a separate view we call pins ๐Ÿ“Œ.

Any message can be pinned or labelled ๐Ÿท๏ธ. Think of it as converting a message into an important item’ or task.

The pinned message view allows sort using label like priority, assinged user, importance or status. Pinned messages act as your tasks, and thus eliminate completly the need to maintain a separate task list ๐Ÿ“‹.

Pins can be private to you or shared (most common). You can also order pinned message to your personal liking. The sort remain private to you.

MANUAL READ

IMPORTANT: When you go to a message to read it. it will NOT be marked read โœ‰๏ธ automatically. It is not possible for us to know which message you read when you are looking inside a folder log.

WHY ? There may be many unread messages in the logs, and you will want to mark specifc messages read and keep others unread for later processing.

As a consequence you have to mark each message read manually. To do so, rollover any message and click the envelop icon โœ‰๏ธ or click on the message and choose the ‘mark as read’ in the option list. You can also ‘mark as read’ straight from the homepage when they are short enough to be read from the excerpt.

If you can’t catch up or you simply have read all messages from a folder you can click on the folder option ‘…’ and select the mark the folder logs ‘as read’

W I K I

On top of the messaging “Logs”, we also offer a Wiki page ๐Ÿ“ in each folder in case you want a more free form collaborative way of writting things down.

This a sample Wiki ๐Ÿ‘€

Wiki are open text space that you can use for many things:

  • create your own journal logs
  • use as temporary notepad
  • personal task list
  • create specifications before starting a discussion

You can create one wiki per folder ๐Ÿ“, so if you feel like you want to separate your notes in different wiki, go ahead and create more folders, like this one I created for a task list

TEXT FORMATTING – MARKDOWN

Worklogs accept most MARKDOWN shortcodes everywhere in the application, messages and wiki. See this Cheat-Sheet for a quick glance at the most usual shortcodes.

you can also use the toolbar ๐Ÿ› ๏ธ to format your text, or use keyboard ๐ŸŽน shortcuts!

LOGS

Logs are chat/conversations made out of messages that will get things done in your organisation.

Logs are regrouped and organized into folders ๐Ÿ“‚. You can mention any of your contact by typing the character ๏ผ  and a list of user allowed in the current folder will appear.

Best Practice

  • Add formatting to your message first few words to create a title. This is especially helpful when you create an important message to be pinned or chance of a long thread are high.
  • If you have not added some sort of title to your message and realize an important thread is being created, or you want to pin the message, it is never too late to EDIT โœ๏ธ your message and format the message for better readability.
Example of a message with first line formated as Heading H1:custom user image

PINS

You can pin ๐Ÿ“Œ messages and label them to transform a message into a task or somethign that needs specific attention.

THREADS?

Sometimes you want to break down a conversation without creating a new folder.

For example to have just a few messages about a simple tasks.

The secret ๐Ÿค is to reply to a specific message instead of posting a new message at the root of the folder. We worked at making this as easy as possible for you, but you still need to make an effort ot keep things organized ๐Ÿ˜‰

Do this

  • Can you buy bread on your way home ?
    • sure, what kind ?
    • whole wheat
    • sliced ?
    • yes
  • back to another topic, what time are we going to see your parents tonight ?

Not this

  • Can you buy bread on your way home ?
  • sure, what kind ?
  • back to another topic, what time are we going to see your parents tonight ?
  • whole wheat
  • sliced ?
  • yes
